Security policies for information contained within OmniDocs ensure complete first level security of information through “access control”. Access control policies dictate whether a user can download information from OmniDocs. However, once the access control is given and information is downloaded, the entire control is transferred to the user who might print, edit, copy and/or distribute the information. In other words, Newgen OmniDocs guarantees information security till the time the document is within Newgen OmniDocs, however it does not by itself exercise control over the information once it is outside of the system.
Once the document moves out of the system, OmniDocs is not responsible for tracking the distribution and usage of such documents. Moreover, any changes done on the access control policies get implemented only for subsequent download / use of content. These changes are not applicable to content that has already been downloaded from OmniDocs since these documents are no longer managed by OmniDocs.
For customers looking to protect documents even when it is outside Newgen OmniDocs, Seclore and Newgen provide a solution through the integration of Seclore’s FileSecure with Newgen OmniDocs.
Seclore FileSecure integrated with Newgen OmniDocs provides Information Rights Management (IRM) capability to Newgen OmniDocs system. Seclore’s Rights management capability for Newgen OmniDocs enables “owners” of information to control the actions that are performed on the information once it has been downloaded from OmniDocs. Seclore FileSecure protects the information and restricts usage to only specific users or groups, specific actions like view, print, edit, copy content & distribute, specific time of usage like “till 19th August 2009” or “2 days” and also restrict the usage to specific computers and network IP addresses thus providing an additional layer of control when providing access to systems outside of the enterprise. Thus, Seclore FileSecure complements OmniDocs by ensuring multi-level and complete information security even when the content is outside the OmniDocs repository. It provides rights management capability to OmniDocs system and enforces IRM security in Newgen OmniDocs even after the document has been downloaded.
One other important value-add that Seclore FileSecure’s IRM system brings to OmniDocs is its audit trailing mechanism. Seclore FileSecure can audit trail the usage of the information once it leaves OmniDocs. Authorized actions as well as unauthorized attempts can be tracked across enterprise boundaries. This helps enterprises to adhere to regulatory and compliance frameworks like ISO, Sarbanes-Oxley, HIPPA, PCI, etc.
