Box, and other Enterprise File Synch and Share (EFSS) solutions, make it easy to share information and engage in external collaboration with third parties such as vendors, sub-contractors, advisors, prospects, and suppliers. However, the ability to readily share information, often sensitive information, also further opens the door to security breaches.

And while Box enables you to control who can access and download files from a folder, this ‘access’ control is only applicable as long as files are within the EFSS environment.

What’s really required to fully ensure secure collaboration? Granular control over the ‘usage’ of a file that stays with the file wherever it travels or is stored. This persistent, file-centric control will protect files wherever they go, whether they are stored in the Cloud, on a recipient’s device, or on other servers.

How Box + Seclore Works

A file will get protected at the desktop and then synced on the Box cloud. That means there are no unprotected copies of the file even on the Box server. The file will sync on all devices in protected form only. And, the EDRM file permissions are automatically derived from the permissions on Box folders.

For example, if a user has “viewer” rights to a folder within Box then she will get “view only” EDRM permissions on files within that folder. And these rights will stay with the file even when it is downloaded or copied. If the user is defined as a “contributor” via Box permissions, the Seclore EDRM file permissions will automatically change to “view and edit only”.

In addition, other EDRM policies, such as how long the user can access the file and from which device/IP address, will also be assigned and stay with the file wherever it goes. If the user is removed from the Box folder, all extracted files will effectively ‘self-destruct.’

Persistent Security

Combining Seclore EDRM with Box EFSS will keep your files under your control. In fact, Seclore’s permissions seamlessly take over as files travel from the owner’s desktop, through Box, to the recipient. These granular usage controls stay with the file wherever it travels.

Policy Federation

Seclore’s permissions on a file are fetched in real-time from Box each time it is opened. The synchronization of policies ensures a streamlined and dynamic extension of file usage permissions – from Box to Seclore. A change in Box’s file permissions would automatically apply – in real time – on all downloaded files.

Automate File Protection

The file can be automatically protected at the document owner’s device with a single click or transparently when downloaded from IBM ECM, MS-Sharepoint, SAP ERP, and other business applications.

Dynamic and Automatic Policy Management

When a user’s access to a folder is revoked, their access to all files – even the ones previously downloaded from that folder – is revoked as well. Thus, equivalent changes do not need to be made in the Seclore EDRM Policy Server portal separately.

Easy User On-boarding and Off-boarding

A recipient can access a protected file via a browser or a light-weight agent, making it easy to quickly engage in the collaboration process. As well, Seclore’s robust Identity Federation capability makes it easy for the recipient to authenticate themselves. A built-in identity manager is also included to provide back up for instances where a recipient cannot authenticate via other methods.

Rich Audit Trails for Compliance

Seclore EDRM provides complete visibility over document usage at all times. All activities performed on protected files – whether inside or outside the enterprise network – are centrally logged. Forensic details such as date and time, machine name, IP address, and file path are also available.
